What we keep
- Your account. Your email address and name, held by our sign-in provider.
- Your projects. Brand name, website, markets, competitors, brand facts, prompts and settings.
- The answers. The full text of every AI answer we collect for your prompts, with its citations, which brands were named, sentiment, and any possible inaccuracy flagged.
- Email recipients. Addresses you add to receive summaries and alerts, and what each one receives.
- Client access. The email addresses you invite as clients and their role.
- Billing. Your plan and subscription status. Card payments are handled by our payment provider.
How long we keep it

What the AI engines receive
The data sources receive your prompts and an approximate location. They do not receive your account details. Answers are also sent to an AI model, which reads them for sentiment and possible inaccuracies.
Who else handles data
We use service providers for sign-in, hosting, the database, running the checks, sending email and taking payments. The Privacy Notice lists them and what each does.
Who can see a project
- People in your workspace.
- Clients you invite, for the one project you choose. Client logins
- Anyone with a share link you create, until it expires or you revoke it. Share a report
Delete a project
- Open the project's Settings and find the Danger area.
- Choose Delete project, type Delete and confirm.
The project disappears at once everywhere, its share links stop working, and runs stop. It stays in Recently deleted on the Projects page for 60 days, where you can Restore it if your plan has room for another project. After 60 days it is deleted for good, with its competitors, prompts, answers, flags and uploaded logo.
Delete your workspace
A workspace Admin can delete the whole workspace: see Delete a workspace.
What deletion does not reach
- Backups hold deleted rows until they expire.
- Providers that received your prompts keep their own logs under their own terms.
- Deleting a project or a workspace does not delete your sign-in account. To close your account or ask about any data we hold, email support@klientbrain.com.
Free report data
Free report requests and the reports built from them are deleted 365 days after the request, or after 7 days if the emailed code was never entered. The report link works for 30 days. The contact record in our sales system is not deleted with the request: email us to have it removed.
