These tools sit on the Team members page, beside the basics in Team members. They are for workspace Admins. A Member or Viewer sees none of them.
Last sign-in
The table has a Last sign-in column: a short date, with the full date on hover, or Never. On a phone each row stacks and the date shows with its label.
Above the table, Last sign-in is also a filter:
| Choice | Shows |
|---|---|
| All | Everyone |
| Signed in last 7 days | People who signed in within a week |
| Signed in last 30 days | Within a month |
| Inactive 30+ days | Not signed in for more than 30 days, including people who never have |
| Inactive 90+ days | The same for 90 days |
| Inactive 180+ days | The same for 180 days |
| Never signed in | Only people who have not signed in at all |
Pending invitations show only under All.
Export
Choose Export to save the list as a CSV file named team-members- and today's date. It has the columns Name, Email, Role, Status, Joined and Last sign-in, for the people the filter is showing, suspended members included. A name or email that starts with =, +, - or @ gets an apostrophe in front, so a spreadsheet does not run it as a formula.
Invite many people from a file
- Choose Import from CSV.
- Choose Choose file and pick a CSV file. It is read in your browser first, and a file over 100 KB is refused.
- Check the preview. Each row shows its email, its role and a status.
- Choose Send Invitation. Only the rows marked Ready to invite are sent.
The file needs one person per row, with the email address first. A header row that contains an email column is skipped. Each import adds up to 50 rows. Add a Role column to give someone Admin, Member or Viewer; a row with no role gets the one chosen under Role.
| Status | Meaning |
|---|---|
| Ready to invite | It will be sent. |
| Not a valid email address | Fix the address and import again. |
| Role must be Admin, Member or Viewer | The Role column holds something else. |
| Already in this file | The address appears more than once. |
| Already a member | They are in the workspace. |
| Already has a pending invitation | An invitation is waiting. |
| Suspended: reactivate them instead | They were suspended. Reactivate them. |
| Over the 50-row limit | Import the rest in another file. |
Suspend and reactivate
Suspend is next to Remove on a member's row. You are asked to confirm, and the person loses access to this workspace until you reactivate them. You cannot suspend yourself or the last Admin.
A suspended person stays in the table, greyed, with the status Suspended. Choose Reactivate to give them back the role they had. Anything assigned to them is theirs again. Their other workspaces are not affected.
While someone is suspended, an invitation to the same address is refused, so an invite cannot quietly undo a suspension. Remove on a suspended row clears the record without giving access back, after which the address can be invited again.
