Organise and export your prompts

Group, filter, save views, tag in bulk, choose engines, export and delete prompts on the Prompts page.

As your prompt list grows, the Prompts page helps you cut it down, compare it in groups and move prompts around in bulk.

Topics and tags

A prompt has one topic and can have any number of tags. Use the topics button beside the search box, which reads All topics until you pick something. It lists your topics, then your Custom tags, each with a count. Choose several, or choose Only beside one to see just that.

With more than one chosen, Or shows prompts that have any of them. And shows prompts that have every one. The button shows which is on.

Group by

Open the ⋯ menu and look under Group by. Choose None, Tag, Topic or Region. Each group has a heading and keeps your sort order inside it.

  • Tag: a prompt with several tags is listed under each. Prompts with none are under No tag.
  • Topic: prompts with no topic are under General.
  • Region: the prompt's market.

Your choice is kept in your browser.

Columns

In the same menu, Columns lists the columns of the table. Tick one to show it or clear it to hide it, and use the arrows to move it up or down. The Matrix and List views each keep their own choice.

Views

Views is the first control in the filter bar on every analysis page. A view is a saved set of filters: the engines, the market, whether branded prompts are included and the period. Choose Views, then Save view, name it and choose Save. Pick a view by name to apply it again. Delete one with the × beside it.

Choose which engines ask a prompt

By default every engine asks every prompt. To narrow one prompt, open its Prompt settings menu and tick or clear engines under Engines. To change several, tick their boxes and use the Engines list in the bar that appears: All engines, or Add or Remove a named engine. Each prompt keeps at least one.

A prompt with its own choice shows a note such as "2 of 4 engines". On an engine that does not ask it, the cell shows a dash.

Work on several prompts at once

Tick the boxes beside prompts, or Select all shown. A bar called Selected prompts appears with the count and these controls:

ControlWhat it does
How often, Stage, Intent, PersonaSets that for every ticked prompt. Persona is offered when the project has personas.
Topic, then Set topicMoves them to a topic.
Tag, then Add tag or Remove tagAdds or removes one tag. Each prompt keeps its other tags. Remove tag is offered only when a ticked prompt has the tag. A prompt can have 20 tags.
Duplicate toCopies them into another market, with their topic, stage, tags and frequency. Prompts that market already has are skipped. Shown when the project has more than one market.
Pause, Track, Watch, UnwatchPauses or restarts them, or adds them to the watch list.
DeleteDeletes them and their saved answers.

Delete paused prompts

Choose the Paused tab, tick the prompts and choose Delete. You are asked to confirm, because the saved answers go too and this cannot be undone. A prompt that is still tracked cannot be deleted: choose Pause first. Paused prompts keep their history until you delete them.

Export prompts

The export button beside the search box reads "Export" and a number, such as "Export 12 prompts": the ones you ticked, or all that match the search and filters. Open it and choose Export as CSV, Export as JSON, Copy as CSV or Copy as JSON.

The file has the columns Prompt, Topic, Stage, Tags, Market, Frequency and Status (Tracked or Paused). Tags are joined with a bar. The first five are the same columns that Bulk upload reads, so an exported file can be uploaded into another project.

What to do next

Group by Topic to see which subjects you are visible for. Save the filters you use every week as a view. See Prompt detail to open a single prompt.
