By default everyone in a workspace sees every project. Project access lets an Admin limit a Member or a Viewer to some of them. It is on the Team members page, and only an Admin sees it.
Set it
- Open Team members. The table has a Project access column.
- Find the person. Their cell shows All projects, or a figure such as 2 of 5 projects, with the project names when you hover over it.
- Choose that cell. Configure project access opens for that email address.
- Keep Select all to grant access to every project, or select individual projects.
- Choose Save. A message tells you what they can now see.
An Admin's cell reads All projects, and hovering says "Admins see every project." You cannot restrict an Admin.
Access is set once a person has joined. A pending invitation shows All projects and has no button.
What the person sees
- Only the listed projects, in the app, in the project list, in search, and in anything they connect to their account (an AI assistant or the API).
- A project they are not on answers not found, exactly as a project from another workspace does. Nothing says it exists.
- Their bell and their email settings list only those projects, and report emails for the other projects do not go to them.
A person with no list sees every project, which is how every existing member starts, so nothing changes until you restrict someone. To lift a restriction, open Configure project access again and choose Select all.
Good to know
- New projects are not added to a restricted person's list. Open Configure project access to add them.
- Staff of KlientBrain are never restricted.
- For a client who should see one project only, a client login is simpler: it is free.
